We collect the minimum data needed to run an authenticated Q&A assistant over South African civil aviation reference material. We do not sell personal data.

Data we collect

1. Account credentials — username and a password hash (we never store plaintext passwords).
2. Conversation content — questions you ask and assistant responses, so you can revisit chats.
3. Technical logs — server logs (IP, timestamps, error traces). If crash reporting (e.g. Sentry) is enabled, device/app diagnostics may be sent to that service. On the website, we use Google Analytics and privacy-focused analytics (Umami) for aggregate traffic. Umami may also record session replays and heatmaps. These website tools run only after you accept analytics cookies on the consent banner. The Android app uses Firebase Analytics (Google) for aggregate usage such as app opens and sessions. We do not use these tools for advertising.

No advertising identifiers are used. On the website you can reject analytics cookies; Google then receives only cookieless, non-identifying measurement pings (Consent Mode).

How we use data

• Authenticate you and keep your conversations private to your account
• Improve retrieval quality and fix bugs
• Secure the service against abuse

Sharing

We do not sell your data. We may share data with:

• Infrastructure providers (VPS host, database) under contract
• LLM API provider (e.g. OpenRouter) — your questions and retrieved context are sent to generate answers
• Error monitoring (optional Sentry) for crash diagnostics
• Website analytics (Google Analytics and Umami, easyairlaw.co.za only) for aggregate usage — and, for Umami, replays and heatmaps — after you accept analytics cookies
• Android app analytics (Firebase Analytics) for aggregate usage; no advertising ID
• Law enforcement when legally required

Retention

• Account and conversations: retained until you request deletion or the service is shut down
• Server logs: typically 30–90 days
• Backups: rotated on a fixed schedule

Your rights

You may request access, correction, or deletion of your account and conversations by emailing support@easyairlaw.co.za. We will respond within a reasonable period.

Children

The app is not directed at children under 13. Do not create an account if you are under 13.

Security

We use HTTPS in production, hashed passwords, and access-controlled servers. No method of transmission is 100% secure.
